DEFINITIONS
Client: The individual or organisation who initiates contact, arranges services, and is responsible for payment. This is usually the person making the initial booking with Sarah Brand or SENShine Hub.
Learner: The child or young person receiving support, tuition, assessment, or intervention from SENShine Hub.
Consultancy: Any advisory or consultation service provided, charged at an hourly rate.
School Holidays: Any period outside of UK school term time.
Term Time: Defined by the term dates published by the learner’s local authority or school.
Booking Date: The agreed date for delivery of the service.
PAYMENT
Invoices must be settled within 7 days of receipt unless otherwise agreed in writing.
Interest may be charged on overdue payments at 5% per month from the due date.
A 25% deposit is required to confirm any booking unless stated otherwise.
CANCELLATION & REFUNDS
Cancellations must be communicated via email or phone.
More than 14 term-time days before the booking: Full refund, minus the deposit.
14 days or less before the booking: 50% of the fee is payable.
Within 5 working days of the booking: 100% of the fee is payable.
No-show or failure to cancel: Full fee applies.
Rescheduling within 14 days may incur a £50 admin fee.
Clients are responsible for any non-refundable costs related to the booking.
SENShine Hub may cancel or reschedule for valid reasons and will offer an alternative date.
CANCELLATION BY SENSHINE HUB
SENShine Hub reserves the right to cancel due to illness, adverse weather, viability, or any concern relating to professionalism or reputation. A suitable alternative will be arranged where possible.
EXPENSES
Travel and related expenses are included unless otherwise agreed. Mileage is charged at £0.55 per mile.
DIAGNOSTIC ASSESSMENTS / TUTORING
Background information is gathered through pre-assessment questionnaires and optional follow-up calls.
A familiar adult must be present or nearby during assessments for safeguarding. If not in place, the assessment may be cancelled with the full fee payable.
Follow-up tests may be included at no extra cost.
A written report will be delivered within two weeks of the assessment, and post-report discussions are included.
Learners under 18 will never be left unsupervised during sessions.
ACCESS ARRANGEMENTS ASSESSMENTS
SENShine Hub will adhere to JCQ regulations and use up-to-date assessment tools.
The school must complete Form 8 Part 1 and manage the learner’s schedule on the assessment day.
SENShine Hub will liaise with the school SENCo as needed.
SCHOOL SUPPORT PACKAGE
The package runs for a minimum of three terms.
Visits are to be used within that period unless otherwise agreed.
Follow-up work is included only if specified or otherwise chargeable.
A 10% deposit is required. Full payment is due within 28 days of the initial invoice.
A 14-day cooling-off period applies post-booking; no cancellation or refund is available after this period.
Unused visits are non-refundable and cannot be carried forward without agreement.
SCHOOL SURGERY
The school must ensure learners and staff are available on the day.
A 10% deposit is required, with the remainder payable within 28 days.
Late payments may incur interest.
Cancellations made more than 14 days in advance may be rescheduled.
Cancellations within 14 days will only be rescheduled for valid reasons.
INTELLECTUAL PROPERTY
All materials, reports, and resources provided by SENShine Hub remain the intellectual property of Sarah Brand unless otherwise agreed. Schools are granted a non-exclusive license for internal use only.
CODE OF ETHICS
Sarah Brand is a registered member of the British Dyslexia Association (BDA) and abides by its Code of Ethics.
COMPLAINTS
If you have a concern, please contact Sarah Brand for an informal resolution. If the issue is not resolved, you may refer to the formal BDA complaints procedure.
GENERAL
SENShine Hub reserves the right to update these terms and will inform clients of any significant changes. These terms apply unless a separate written agreement has been made.
